Building a HubSpot workflow that notifies Slack usefully.

Most HubSpot to Slack workflows enroll on deal stage change, which is the least informative event available because a stage is a rep opinion. Better triggers are buyer side, and for anything not urgent a daily summary beats real time.

The trigger everybody picks.

Deal stage change is the first option in the list and the one most workflows use.

A stage moving is somebody clicking a dropdown. It tells the channel what a rep believes, which the channel could already have guessed.

Better triggers.

A buyer side activity after a period of silence. Something happened after nothing happening.

Close date moved later. Most teams never notify on this and it is among the strongest slip signals available.

A deal in a committed stage with no activity for a set number of days.

Contact count increasing, which is worth knowing and almost never surfaced.

Daily beats real time.

Real time is right for things that change what somebody does in the next hour. Very little in a pipeline qualifies.

For everything else a single daily message is read and an event stream is muted.

What a workflow cannot do.

A workflow fires on a condition. It cannot weigh six signals against each other and tell you a deal got materially better overnight, because that is a model rather than a rule.
